The client

A growing marketing business — confidential under NDA

Our client is a marketing-focused business managing leads, customer relationships, campaigns, and ongoing commercial opportunities across multiple channels. As the business grew, information became distributed across different tools and manual processes — teams needed a clearer way to understand where leads came from, how they were progressing, and what action should happen next.

The client chose Creatio to create a more connected marketing and customer-management environment. Creatio Marketing provides tools for managing customer profiles, segmentation, lead qualification, nurturing journeys, campaign activity, and the wider lead-to-revenue process. Our task was to adapt and integrate the platform around the client’s real business model. The client’s identity and commercially sensitive details have been withheld under an NDA.

01

The Challenge

The client’s marketing activity generated information from multiple sources. Without a connected system, leads could be stored in different locations, qualification methods could vary, and important follow-ups could depend on individual team members remembering to take action.

The solution needed to introduce structure without making the team’s daily work unnecessarily complicated. The business needed to:

  • Centralise lead and customer information
  • Connect Creatio with its existing marketing tools
  • Standardise lead capture and qualification
  • Improve routing between marketing and sales
  • Automate repetitive follow-up processes
  • Create clearer audience segments
  • Track activity across the customer journey
  • Support future campaigns and business growth

Designing Around the Marketing Funnel

We started by mapping the client’s lead-to-customer journey — identifying the principal lead sources, qualification stages, ownership rules, customer touchpoints, and handoffs between teams. Creatio was then configured around this operating model rather than forcing the business into a generic CRM structure.

This gave the organisation a shared process and a consistent language for managing customer relationships. The implementation established a clearer framework for:

  • Leads, contacts, accounts, and opportunities
  • Marketing sources and campaign activity
  • Qualification stages
  • Ownership and responsibility
  • Follow-up tasks
  • Customer communication history
  • Segmentation and targeting
  • Sales and marketing handoffs

Connecting Creatio with Existing Tools

Creatio needed to work alongside the client’s established marketing ecosystem. We implemented integrations that allowed relevant information to enter and leave the platform through controlled workflows — reducing fragmented records and helping Creatio become the central point for customer and lead management.

Depending on the workflow, incoming information could create a new record, enrich an existing profile, trigger qualification steps, assign responsibility, or start an automated process. The integration approach focused on:

  • Reliable data exchange
  • Record matching and duplicate prevention
  • Consistent field mapping
  • Validation of incoming data
  • Automated record creation and updates
  • Workflow triggers
  • Error handling and visibility
  • Extensibility for future integrations

Lead Management Automation

A key objective was to make lead handling faster and more consistent. Automated workflows helped ensure that new enquiries entered the appropriate process, received the right status, and reached the correct person or team.

Qualification rules and structured stages made it easier to distinguish early interest from sales-ready opportunities, while follow-up tasks and notifications reduced dependence on manual reminders — allowing marketing and sales teams to spend less time managing spreadsheets and more time building relationships.

05

Segmentation, Visibility, and Continuous Growth

Centralised customer information created a stronger foundation for audience segmentation. The client could organise contacts using meaningful criteria and build more relevant marketing activities around their characteristics, behaviour, or position within the customer lifecycle — while teams gained a clearer view of previous interactions and current activity.

The implementation was designed as a foundation rather than a fixed final state. As the client introduces new campaigns, services, channels, or business processes, Creatio can be extended through additional workflows, integrations, fields, and automation — evolving alongside the marketing organisation instead of becoming another system that eventually restricts it.

06

The Result

The Creatio implementation brought lead management, customer information, and marketing workflows into a more connected environment.

The client gained:

  • A central source of customer and lead information
  • More consistent lead qualification and routing
  • Reduced manual administration
  • Better coordination between marketing and sales
  • Clearer visibility across the customer journey
  • Reusable automated workflows
  • A stronger foundation for segmentation
  • An integration architecture prepared for growth

Turning Marketing Activity into a Connected Journey

Marketing technology creates the greatest value when its tools, data, and teams operate as one system.

By adapting and integrating Creatio around the client’s real customer journey, we helped transform disconnected marketing activities into a structured, scalable operation — one in which every lead has context, ownership, and a clear next step.

Every lead has context, ownership, and a clear next step.
